Reports

The files people ask for to review the catalog and the operation, on one screen: with a period, filters, a search and your favorites.

Video transcript

In this video, you'll find, view and save your organization's reports.

Reports brings together the files people ask for to review the catalog and the operation.

There are up to thirty-four reports in eight families; how many you see depends on your role.

At the top you pick the period, or a quick one: this month, the last 30 days or this year.

Each report says what it's for, which columns it has and how many rows it has in the period.

“View” opens the report on screen, with the same period and the same filters.

They're the same rows as the file, in the same order, 50 at a time.

And above the table, “Download CSV” gives it to you, ready for another system.

Supplier, Brand and Status narrow down the reports that use them.

Each report says which ones it uses; the ones marked “Current snapshot” show how everything stands now.

Not sure which one it is? Search by its name, its family or one of its columns.

“Save” keeps a report in your favorites, with its filters and a name you choose.

A quick period is saved by its name: the last 30 days are always today's.

Your favorites stay at the top, ready to view or download, and you can share them with your team.

That wraps up “The catalog” series. Next up: “Teamwork”.

What is in Reports

Up to thirty-four reports in eight families; how many you see depends on your role. Each one downloads as CSV, ready to take the data to another system (the catalog quality one, as PDF), and almost all of them can also be viewed on screen:

  • Uploads and suppliers, Catalog and quality, and Channels and integration: what came in, how the catalog stands and what each channel is missing.
  • Content and generation, Team and operations, and Images and media: generated and published product sheets, tasks, comments, the time per step and the stuck products of your flows, and what was uploaded or created with The Studio.
  • Security and compliance (the period's audit log) and Money and usage (credit movements, daily usage, orders and credits per product).

The period and the filters

At the top you choose From and To, or a quick period: this month, last month, last 30 or 90 days and this year. The period cannot go over 366 days, and the first time the screen opens “This month”.

Supplier, Brand and Status narrow the reports that use them, and each report says which ones it uses (“Uses: period · brand”). The ones that say “Current snapshot” do not use the period: they show how everything stands now.

Dates are in your time zone: “July 1 to 31” are your days, not another zone's. The dates inside the file use that same zone.

Each report: view it and download it

Each report says what it is for, which columns it has and how many rows it has in the period. “View” opens it on screen and “Download CSV” gets it in one click. The two channel reports (its file and what it is missing) ask you to pick the channel before downloading.

If the period has too many rows for a single file, the download does not go out and the screen tells you: shorten the period or add a filter. You never get a file cut in half.

Every report you can view on screen also downloads as Excel, with the same rows: numbers come out as numbers, so you can add them up in the sheet, and no cell turns into a formula. An Excel file holds up to 50,000 rows; if the period has more, download the CSV.

Viewing a report on screen

“View” opens the report in a table with the same period and the same filters, 50 rows at a time, with “Previous” and “Next”. They are the same rows as the file, in the same order and with the same columns; “Download CSV” sits above the table so you can take it with you.

On screen you can page through the first 10,000 rows; if the report has more, the screen tells you and the file has them all. The quality report (a PDF) and the two channel reports are not shown on screen: they only download.

A report with no rows does not offer “View”: its card already says “No rows in the period” or “No rows today”.

Find a report

Type a word in “Find a report” and only the reports that mention it in their name, description, family or columns remain. Accents and capitals do not matter.

Favorites

“Save” on a report saves it with the filters you have set and a name you choose. Your favorites show up at the very top, ready to view or download.

If the period is a quick period, it is saved by its name: a “Last month” favorite saved in September downloads August, and in November it downloads October. Check “Save the fixed dates” if you always want the same dates, such as a month-end close.

  • “Download” gets the file with today's period, without going through the filter bar.
  • “View” opens it on screen with today's period.
  • “Open” takes you to the section with the favorite's filters and to its report, so you see how many rows it has before downloading.
  • “Share with the organization” puts it under “From the organization” for the whole team, with the name of whoever shared it.
  • “Remove” asks for confirmation in the same button. Only whoever created a shared favorite or an administrator can change or remove it.
A favorite keeps only the filters its report uses, and never your time zone: whoever opens it sees it with their own days. Favorites count toward the same saved-views limit of the organization.

Scheduled sends

If you see the «Scheduled sends» section at the bottom of Reports, you can send a report every week or every month to people on your team. An Operator or above schedules it.

  • The period goes by name: last week (Monday to Sunday), last month, the last 7 or the last 30 days, counted on the day the send goes out and always in whole days.
  • Each person gets a notice in the bell and, unless they turned it off in their email preferences, an email with a link to the report. The link requires signing in and opens the report with their permissions: a supplier sees only their own submissions. The email doesn't carry the file.
  • The send's filters are the ones from the bar above that the report uses. Only people who can see the report are listed as recipients, and anyone who leaves the organization stops getting it.
Whoever scheduled a send, or an admin, can pause, edit or remove it. Each send shows when the next one goes out and how the last one went.

Who sees what

The section opens from the Editor role; a Viewer does not see it. The rest depends on the role:

  • Editor (a supplier, for example): the Uploads and suppliers family, with their own submissions only.
  • Operator: seven families, with the whole catalog and the operation.
  • Administrator and Owner: in addition, Money and usage, the people reports (productivity and team) and the API keys and webhooks ones.
A shared favorite of a report your role does not see does not show up in your list.

What goes into the audit log

Every download of a report built in one go goes into the audit log: which report, the period, how many rows and which filters applied, never the data in the file. The ones written in parts (those that go through the whole catalog or its history) do not leave that line, like the other catalog downloads. Saving, sharing or removing a favorite is logged too, with its name and without its filters. Viewing a report on screen does not leave a line in the audit log, like any other screen. The Excel download leaves the same line as the CSV. Scheduling, changing or removing a send is logged too, with the report and how many people get it, never who.
